Description

Additional fee added to invoice for compensating processing costs of credit card payments

Reduction in price for adopting low-fee payment methods

An additional flat fee was added to the invoice for using a non-standard payment method

Application

It is only applicable if a client pays by credit card

It is only applicable if the client uses a low-fee payment method

Only applicable if the customer uses a payment method not offered by the MSP in general

Regulations

The percentage being charged must be clearly disclosed before transaction completion

The percentage being discounted must be clearly disclosed before transaction completion

The amount being charged must be clearly mentioned before transaction completion

Benefit

Helps maintain revenue by offsetting credit card fees

Helps maintain cash flow by encouraging timely payments

Helps cover the costs of offering alternative payment options

Example

MSP adds a 2% fee for credit card payments on a $1,000 invoice. The client pays $1020, and MSP’s revenue is $999.60

MSP offers a 2% discount on a $1,000 invoice if the payment is made using other low-fee methods besides credit cards.

If we assume the client pays through ACH and the flat processing fee is $0.25, then MSP’s revenue is $979.75

MSP charges a flat fee of $10 for digital wallet payments on a $1,000 invoice. The client pays $1010. MSP’s revenue will be calculated after deducting the processing fee for the digital wallet.

If we assume it is 3% of the transaction amount, the processing fee will be $30.30 (3% of $1,010)

MSP’s revenue is $1,010 - $30.30 = $979.70

Advantages of QBOTrade-offs of QBOHandling of MSP Billing & Reconciliation:
  • Your team can view and access financial data anytime, anywhere.
  • Easily integrated with modern MSP tools.
  • Manages updates, security, and backups automatically.
  • Supports recurring invoices.
  • Lacks the deep, granular control over fields, layouts, and reports that QBD offers.
  • Traditional job costing and inventory features are less advanced than in QBD.
  • When paired with FlexPoint, invoices are auto-generated from your PSA software and synced to QBO in real-time.
  • With integration, payments made through FlexPoint are automatically applied to the proper QBO invoice, marked as paid, and recorded as a deposit.
Advantages of QBDTrade-offs of QBOHandling of MSP Billing & Reconciliation:
  • Provides customizable reports, job costing, and industry-specific tools.
  • Best suited for MSPs with complex projects or those also working as Value-Added Resellers (VARs) with substantial inventory requirements.
  • The standalone version offers a perpetual license with no monthly fee. However, note that all QBD versions will be supported in the future by Intuit Support.
  • Offers unparalleled control over forms, templates, and data fields.
  • Multi-location or remote teams require a VPN, remote desktop, or third-party hosting, which adds extra cost and complexity.
  • MSP must handle updates, server maintenance, and backups, which can cause downtime and increase the IT workload.
  • Works with tools like FlexPoint, but often uses older syncing technology that needs an always-on workstation.
  • Requires more manual setup or reliance on integrated tools.
  • Can be automated with integrations like FlexPoint, but the sync is often on a scheduled basis rather than truly real-time.
